**Prepared for:** [CLIENT CONTACT NAME], [CLIENT COMPANY NAME]
**Prepared by:** [YOUR NAME / BUSINESS NAME] — [YOUR EMAIL] — [YOUR PHONE]
**Date:** [DATE] | **Proposal ref:** [PRO-2026-001] | **Valid until:** [DATE + 30 DAYS]

## 1. Summary

[ONE PARAGRAPH. Name the client, the project and the outcome — not your process. Example: "[CLIENT COMPANY] is launching [PRODUCT] in [MONTH] without a consistent visual identity across the site, deck and app store listing. This proposal covers a complete brand identity and a launch-ready landing page, delivered by [DATE], so the launch reads as one product from one company. Total investment: [CURRENCY] [TOTAL FEE], starting on receipt of the [30]% deposit."]

**What you get:** [HEADLINE DELIVERABLE 1], [HEADLINE DELIVERABLE 2], [HEADLINE DELIVERABLE 3].
**By when:** [COMPLETION DATE].
**Investment:** [CURRENCY] [TOTAL FEE].

## 2. Scope of work

**Included**

| # | Deliverable | What exactly you receive | Format / quantity |
| --- | --- | --- | --- |
| 1 | [DELIVERABLE 1] | [SPECIFICS — e.g. "primary logo, secondary lockup, favicon/app icon, colour and type system"] | [e.g. source files + PNG/SVG exports] |
| 2 | [DELIVERABLE 2] | [SPECIFICS] | [FORMAT] |
| 3 | [DELIVERABLE 3] | [SPECIFICS] | [FORMAT] |
| 4 | [DELIVERABLE 4] | [SPECIFICS] | [FORMAT] |

**Not included** (available as add-ons — see section 4)

- [OUT-OF-SCOPE ITEM 1 — e.g. copywriting for the site]
- [OUT-OF-SCOPE ITEM 2 — e.g. ongoing hosting and maintenance]
- [OUT-OF-SCOPE ITEM 3 — e.g. print production management]
- Anything not listed in the table above.

**What I need from you:** [ASSET / ACCESS 1] by [DATE]; [ASSET / ACCESS 2] by [DATE]; one named approver ([CLIENT APPROVER NAME]) who can sign off on behalf of the team.

## 3. Timeline

Dates below run from the day the deposit clears — that is what starts the project.

| Milestone | What happens | Target date |
| --- | --- | --- |
| Deposit received | Project confirmed, dates locked, kickoff booked | Day 0 — [DATE] |
| Kickoff call | [30] minutes: goals, decisions, approvals, constraints | [DATE] |
| [MILESTONE 1 — e.g. concepts presented] | [WHAT YOU SEE AND WHAT WE NEED BACK] | [DATE] |
| [MILESTONE 2 — e.g. revisions and refinement] | [DESCRIPTION] | [DATE] |
| Final delivery | [DELIVERABLES HANDED OVER], final invoice issued | [DATE] |

Feedback windows: I need consolidated written feedback within **[5] business days** at each review point to hold these dates.

## 4. Pricing

| Item | Detail | Amount |
| --- | --- | --- |
| [DELIVERABLE / PHASE 1] | [SHORT DESCRIPTION] | [CURRENCY] [AMOUNT] |
| [DELIVERABLE / PHASE 2] | [SHORT DESCRIPTION] | [CURRENCY] [AMOUNT] |
| [DELIVERABLE / PHASE 3] | [SHORT DESCRIPTION] | [CURRENCY] [AMOUNT] |
| **Total project fee** | Excluding [VAT / GST / SALES TAX] where applicable | **[CURRENCY] [TOTAL FEE]** |

**Payment schedule**

| Payment | Trigger | Amount |
| --- | --- | --- |
| **Deposit — [30]% (booking fee)** | On acceptance of this proposal | **[CURRENCY] [DEPOSIT]** |
| [MILESTONE PAYMENT] | [TRIGGER] | [CURRENCY] [AMOUNT] |
| Balance | On final delivery | [CURRENCY] [AMOUNT] |

The deposit confirms the booking and holds your place in the schedule. Work starts when it clears; I do not hold dates without it.

**Optional add-ons** *(delete this table if not offering any)*

| Add-on | Description | Price |
| --- | --- | --- |
| [ADD-ON 1] | [DESCRIPTION] | [CURRENCY] [AMOUNT] |
| [ADD-ON 2] | [DESCRIPTION] | [CURRENCY] [AMOUNT] |

## 5. Terms snapshot

The full terms live in the service contract attached to this proposal. The five that matter most:

- **Revisions.** [2] rounds included per deliverable. A round is one consolidated set of written feedback. Extra rounds: [CURRENCY] [ADDITIONAL ROUND FEE] each.
- **Payment terms.** Invoices are Net [14]. Overdue balances carry [1.5]% interest per month; work pauses on invoices more than [15] business days overdue.
- **IP transfer.** You own the final deliverables outright once the final invoice is paid in full. Until then they remain mine.
- **Cancellation.** Cancel any time on [15] business days' notice. The deposit is non-refundable and completed work is billed pro-rata.
- **Portfolio.** I may show this work in my portfolio from [LAUNCH DATE / IMMEDIATELY] unless you tell me otherwise.

## 6. Why me *(optional — keep to three lines or delete)*

[ONE LINE OF RELEVANT EXPERIENCE — e.g. "[N] years designing for [INDUSTRY]"]
[ONE RELEVANT RESULT — e.g. "[CLIENT] launched with this process and [MEASURABLE OUTCOME]"]
[ONE LINE ON FIT — why this project specifically]

### How to use this template

1. Keep it to one or two screens. Anything longer and the client scrolls past the deposit clause.
2. Rewrite section 1 for every client. Reuse the structure, never the wording.
3. Send within 24 hours of the discovery call, while intent is highest.
4. Attach the service contract and the deposit invoice in the same message — proposal, contract and deposit in one session is what turns "yes" into a booked project.
5. Put an expiry date on it. A proposal with no end date is a proposal that never gets a decision.
