The Connect COLO with Zoom integration makes that scramble unnecessary — every COLO meeting carries a Zoom link from the moment it's created, and the recording lands on the client record when the call ends.

How it works

  1. Connect — open Settings → Integrations in COLO, click Connect Zoom, and authorise the OAuth scopes through the Zoom marketplace. Roughly 60 seconds.
  2. Sync — every new COLO meeting auto-generates a Zoom meeting link, attaches it to the calendar invite, and ties the meeting to the client record.
  3. Work — run the call in Zoom as usual. When it ends, the recording (if you record) and the chat transcript mirror back to the COLO client record.

  • Personal one-off Zoom calls from outside COLO are not pulled into the workspace — only meetings that originate from a COLO record are tracked.

A typical workflow

A coach books a discovery call inside COLO Tuesday afternoon for Thursday morning. The integration generates a Zoom link on the spot, attaches it to the calendar invite that goes out to the client, and stores the link on the COLO client record. Thursday morning the coach opens COLO, taps "join" from the client view, and lands in Zoom in one click — no link hunting, no copy-paste. The client clicks the link from their calendar invite the same way they would any Zoom call.

After the meeting ends Thursday morning, the cloud recording (the coach has recording enabled by default) and the chat transcript mirror back to the COLO client record under a "Discovery call — recording" entry. When the coach prepares the proposal that evening, the call notes, the recording, and the intake details all sit on the same record. There is no second tab, no separate recording inbox, no "where did I put that link" — the meeting context lives where the work happens.

Setup in 60 seconds

  1. Go to Settings → Integrations in your COLO workspace
  2. Click 'Connect Zoom' and authorise through the Zoom marketplace
  3. Choose whether recordings auto-attach to client records and you are done

FAQ

Q: Can I disconnect later?

Yes. Disconnecting stops new COLO meetings from generating Zoom links. Existing Zoom meetings and recordings remain in your Zoom account — the disconnect does not delete data on either side.

Q: Does it support 2-way sync?

Yes for meeting state. Reschedules in COLO update the Zoom meeting; meeting deletion in Zoom marks the COLO entry as cancelled. The meeting link itself is generated once and reused, so the client never receives a confusing second invite.

Q: Is my data secure?

Yes. Authorisation uses Zoom's OAuth2 flow with scoped meeting access. COLO does not access recordings outside the meetings it created, and tokens are revocable from the Zoom marketplace at any time.

Q: Does it cost extra?

No. The integration is included in every paid COLO plan. A free Zoom account works for short meetings; longer sessions need any paid Zoom plan on the other side.

Q: What about my historical data?

Past Zoom recordings and meetings are not imported. The integration handles meetings created from the connection date onward; older recordings can be linked manually onto a COLO client record if you need them on file.
