Tasks
Tasks can be standalone items or linked to a specific project. Each task supports time tracking, notes, and priority levels.
1. Viewing the Task List
- Click Tasks in the left sidebar.
- The list shows task name, project, assignee, status, priority, and due date.
- Use the Status and Priority filter dropdowns to narrow the list.
- Use the search bar to find a task by name.
2. Creating a New Task
- Click + Add Task.
- Fill in the form:
- Task Name (required)
- Project — optionally link the task to a project
- Assigned To — select one or more team members
- Due Date
- Priority — Low, Medium, High, or Urgent
- Status — Not Started, In Progress, On Hold, Cancelled, Finished
- Description — detailed task notes
- Click Save.
You can also create tasks directly from within a project via the project's Tasks tab.
3. Editing a Task
- Click the task name in the list to open it.
- Click Edit and update the fields.
- Click Save.
4. Changing Task Status
- In the task list, click the status badge of a task and select a new status from the dropdown.
- Alternatively, open the task and edit the Status field.
5. Deleting a Task
- Click the Delete (trash) icon on the task row and confirm.
- Bulk delete: check multiple tasks → Delete Selected → confirm.
6. Task Timer
Colo includes a built-in timer so you can track time spent on a task in real time.
Start a timer:
- Open a task.
- Click Start Timer.
- The timer begins counting. You can navigate away — the timer continues in the background.
Stop a timer:
- Click the timer icon (shown in the top navigation bar while a timer is running).
- Click Stop.
- The elapsed time is automatically saved as a time entry for the task.
Pause / resume:
- Open the active timer.
- Click Pause to pause it without saving.
- Click Resume to continue.
View timer history:
- Open a task and scroll to the Time Log section to see all recorded time entries.
7. Manual Time Entry
- Open a task.
- In the Time Log section, click + Add Time.
- Enter the date, start time, end time (or total duration), and a note.
- Click Save.
8. Task Notes / Comments
- Open a task.
- Scroll to the Notes section.
- Type your note and click Add Note.
- Notes are visible to all team members with access to the task.
9. Task Priority Levels
| Priority | Use When |
|---|---|
| Low | Non-urgent, background work |
| Medium | Normal day-to-day tasks |
| High | Important, needs attention soon |
| Urgent | Blocking or deadline-critical |
Tips
- Filter by Assigned To = Me to see only your own tasks.
- Use the timer feature to track billable hours automatically rather than guessing at the end of the day.
- Tasks linked to a project feed into the project's Timesheets tab for billing.
