Team Members

Team members are the staff who work inside your workspace. You can invite them, assign roles, and control their permissions.


1. Viewing Team Members

  1. Go to Settings → Team Members from the sidebar.
  2. The list shows each member's full name, project, role, email, and active status toggle.

2. Inviting a New Team Member

  1. Click Add new staff member.
  2. Fill in:
    • First Name (required)
    • Last Name (required)
    • Email Address (required) — used for login
    • Role — select from your configured roles (e.g. Manager, Developer, Accountant)
  3. Click Save.
  4. The new member can log in using the email address and the password set during onboarding.

3. Editing a Team Member

  1. Click the Edit icon next to the member.
  2. Update their name, role, or status.
  3. Click Save.

4. Activating or Deactivating a Team Member

Each member row has an Active toggle switch:

  • Toggle on — member can log in.
  • Toggle off — member is deactivated and cannot log in, but their historical data is preserved.

Use deactivation instead of deletion when a staff member leaves temporarily.


5. Deleting a Team Member

  1. Click the Delete icon next to the member.
  2. Confirm.

Warning: Deleting a team member may affect records they are linked to (tasks, timesheets, project assignments). Consider deactivating instead.


6. Uploading Member Documents

Team member profiles can store documents (contracts, IDs, etc.):

  1. Open the team member's profile.
  2. In the Documents section, click Upload File.
  3. Select the file and click Upload.

7. Managing Roles

Roles define what team members can see and do in the workspace.

Creating a Role

  1. Go to Settings → Roles.
  2. Click + Add Role.
  3. Enter a Role Name (e.g. Project Manager, Developer, Finance Admin).
  4. Set permissions for each module and action using the toggles.
  5. Click Save.

Editing a Role

  1. Click the role name in the Roles list.
  2. Adjust permissions.
  3. Click Save.

Changing a role's permissions immediately affects all members assigned to that role.

Permission Types Available

Permission Description
View Can see records
Create Can add new records
Edit Can modify existing records
Delete Can remove records
Module-specific e.g. Send Invoice, Mark as Paid, Sign Contract

8. Assigning a Different Role to a Member

  1. Edit the team member.
  2. Change the Role dropdown.
  3. Save.

Tips

  • Create roles that match your organisational structure (e.g. a Finance role with access to Invoices/Payments but not HR documents).
  • Use the Active toggle for staff who go on leave so their data is preserved but access is suspended.
  • Review roles periodically — as your team grows, permission needs change.
